Information About Booking Exams in the Testing Centre (for instructors)

Instructors planning to have their students take a Moodle exam in the Testing Centre should review the information below.

This page will outline how the Testing Centre operates, what is required for exams, and provide information on the process. 

NOTE: The Testing Centre is reserved for Moodle-based exams. Paper-based exams or external exams are not invigilated in the space.

Monday – Friday: 9am – 9pm
Saturday: 9am – 5pm
 
Closed on holidays, and during Reading Week.
 
Location: E630. University Hall.
 

Final Exams:

Final examinations in the Testing Centre must be scheduled for completion no earlier than the third day and no later than the last day of the final examination period.

 

Steps:

1. Request your exam dates

All Moodle exams must be booked in advance to ensure there is space in the Testing Centre to host your exam. Plan to have your exam run for a specific date period. The minimum booking requirement is 3 business days. Note that the Testing Centre is closed on Sundays and Holidays. Depending on availability in the Testing Centre you may be asked to adjust your dates slightly.

We recommend booking as early in the semester as possible as you are more likely to get the dates you wish.

2. Determine any special allowances for your students

The Testing Centre is a secure testing environment. The computers in the Testing Centre have a secure browser that will prevent students from accessing any other internet pages.

Students may need access to other materials, such as a calculator, a language translator, or even a formula sheet. These allowances are minimal as all Testing Centre exams are closed book. We will limit the amount of materials that will be allowed in the Testing Centre space. Be sure to check with the Teaching Centre staff as to what items will be allowed at the time of the exam booking(s). The proctors will not allow students to bring in any items that are not listed in the exam booking.

3. Review your exam questions

It is the responsibility of the instructor to check the exam for any errors. It is very important to preview your full exam before the opening date to sort out any issues before students begin taking the exam. This includes making sure you have enough questions within a category to pull from if you have a randomized set. Once an attempt has been made on the exam, Moodle limits the ability to adjust questions or add/remove others so it is very important to make sure your exam is setup as needed before any students attempt your exam.

Are the images showing properly? Is randomization working? If you have any questions about the functionality of your exam, please contact the Teaching Centre as soon as possible.

4. Configure your exam for the Testing Centre

Determine how much time you will allow your students to have to complete the exam. Once you have decided on a time limit, you will need to adjust this setting in your Moodle exam. If you need assistance with your exam settings we are here to help.

The Testing Centre is locked down with a comprehensive SEB key in a Safe Exam Browser, along with an IP rage. Once your exam is booked with us, we will go into your exam settings and adjust these security settings within 3 days before the opening date. Please make sure your exam shell is ready no later than 3 business days before the opening date so that we may prepare the settings on our end, as well as get any accommodated student overrides in place. 

5. A note on accommodated students

You may encounter students in your class that require special accommodations, this may include the need for extra time, a quiet room, reading software, or other special requirements. These students will be registered with the Accommodated Learning Centre and be required to book all their exams through the ALC office. Once the student books with the ALC, the office will notify the Teaching Centre of the accommodation and an override will be setup for the student. As the instructor, you will not have to set any of these up, they will be done for you, making sure all accommodations are met for each student with each exam. For this reason, we ask that you have your exam shell settings ready a minimum of 3 business days before the exam opening date. 

6. Determine how and when you want to release grades and feedback to students

In Moodle, the exam settings have the ability to suppress the release of grades, feedback, and even student answers, until the exam is done.  Be sure to look through the exam settings to determine how you want this feedback released.

7. Inform your students of the Testing Centre Procedures
